Administrative assistant

Main tasks:

  • ​Compilation, verification and tracking of accounts receivable / payable;
  • Prepare and issue account-related documents, such as accounts receivable / payable, orders, checks, invoices, check requests and account statements using computerized and manual systems;
  • Add up material costs, overhead and other expenses from estimates, quotes and price lists;
  • Sort and match the invoices with the purchase order and the way bills;
  • Validate and save credit card statements and refund requests;
  • Monitor accounts to ensure payments are up-to-date;
  • Prepare and send quotes to customers; 
  • Greet guests at the reception;
  • Take calls and redirect them to the right person;
  • Perform other related office duties, such as word processing, record keeping and filing


The candidat must have an excellent ability to interact effectively with people. He or she must be resourceful, dynamic and be able to multitask. The candidat must be honest, discreet and organized. In addition, he or she must be able to handle pressure well. The respect of confidentiality and punctuality are essential.

Education: College degree

Years of experience: 3-5 years in the field.

Salary: To be discussed according to experience.

Number of hours per week: 40h.

Type: Permanent.

French language: Spoken and written.

English language: Spoken and written.

Other prerequisites: Knowledge and mastery of Sage 50 software
